Terms and Conditions for Event Hire at Suite 4, Blake House, Admirals Way, London, E14 9UJ
These Terms and Conditions (“Agreement”) govern the hire of the event space at Suite 4, Blake House, Admirals Way, London, E14 9UJ (“Venue”) provided by ZenZen Ltd (“Venue Provider”). By booking the Venue, the Hirer agrees to abide by the terms and conditions outlined below.
1. General Terms:
- The Venue is located on the first floor of the building and there is no lift access. Therefore, the Venue is not wheelchair accessible or suitable for individuals with mobility impairments.
- The Venue is available for booking for holistic workshops and educational events only. No parties, social gatherings, or other non-educational events are permitted.
- The Venue accommodates a maximum of 20 people. Any event exceeding this capacity will not be permitted.
- The Venue is available for whole-day hire only, with access granted from 6:00 AM to 9:00 PM. Any requests for access outside these hours must be agreed upon in writing prior to booking.
2. Noise Restrictions:
- No noise pollution is permitted on weekdays, including, but not limited to, drumming circles or loud music.
- On weekends, reasonable noise is allowed but must be kept within acceptable levels to prevent disturbance to neighboring tenants and other venues.
3. Responsibilities of the Hirer:
- The Hirer is responsible for any damage that occurs to the Venue or its equipment during the event, and must pay for repairs or replacements in a timely manner. If damage is caused, the Hirer must make full payment to cover the cost of repairs or replacement within 14 days of being notified of the damage.
- The Hirer must treat the Venue with respect and care, maintaining good conduct throughout the event.
- The Hirer is responsible for all participants and any equipment brought into the Venue during the event. The Hirer is responsible for ensuring that all participants comply with the terms of this Agreement.
4. Subletting:
- Subletting or transferring the booking to another party is strictly prohibited. The Hirer must be the primary person responsible for the booking and must be present at the Venue for the entire duration of the event. The Hirer is not allowed to allow others to run the event in their place.
5. Fire and Safety Regulations:
- No open flames, including candles, are allowed, except for candles provided by the Venue.
- Smoking is not permitted inside the Venue or in the immediate vicinity of the premises.
6. Food and Drink:
- The Venue provides a modest selection of basic snacks, tea, and coffee. However, the Venue Provider takes no responsibility for any food allergies or other issues related to food consumed on the premises.
- No smelly foods or cooking are allowed in the Venue. Any special dietary requirements should be discussed and agreed upon with the Venue Provider before the event.
7. Venue Cancellation Policy:
- ZenZen Ltd reserves the right to cancel an event with 48 hours’ notice in the event of unforeseen circumstances, including but not limited to maintenance issues, loss of Venue space, or if the Hirer’s intentions for the event are found to differ from what was originally stated (e.g., hosting a party instead of an educational event).
- In the event of a cancellation by ZenZen Ltd, the Hirer will receive a full refund within 3 working days, plus any processing time required by the payment processor. Refunds will only be issued in the event of cancellation by ZenZen Ltd.
- There is no option for the Hirer to cancel the event once booked. Any cancellations by the Hirer will not be eligible for a refund.
8. Venue Usage and Representation:
- The Venue is located within the premises of ZenMyMind, but it is not part of the ZenMyMind business. The Hirer must make it clear to all event participants that the event is not affiliated with or representing ZenMyMind.
- Any disputes regarding the Venue hire or any issues related to the booking should not be directed to ZenMyMind or reflected in its branding.
9. Security and Surveillance:
- The premises are equipped with CCTV security monitoring. Footage is secure and may only be accessed by the Venue Manager. Footage will only be reviewed in the event of an incident that requires investigation.
10. Venue Viewing:
- It is the Hirer’s responsibility to arrange a venue viewing before committing to the hire. No complaints will be accepted after booking regarding the size, location, accessibility, condition, facilities, or any other aspect of the Venue.
11. Insurance and Liability:
- The Hirer must have valid insurance related to their work and activities during the event. ZenZen Ltd is not responsible for any injuries, accidents, or liabilities that may occur during the event.
- ZenZen Ltd holds standard public liability insurance but only for the Venue itself. It does not cover the Hirer’s activities, participants, or any equipment brought into the Venue.
12. Self-Access and Venue Support:
- The Venue is self-accessed by the Hirer using a unique electronic access code provided prior to the event.
- The Venue Manager will be available for phone support during the first and last hour of the arranged event time, unless otherwise agreed in advance.
13. Event Preparation and Clean-Up:
- The Hirer must ensure that all necessary steps are taken before leaving the Venue, including switching off heating or air conditioning, lights, and locking the door.
- Any mess or waste created during the event must be cleared by the Hirer. The Venue should be left in the same condition as it was found upon arrival.
14. Unforeseen Issues During the Event:
- In the event of unforeseen issues during the event, the Hirer is expected to act in good will and resolve the matter as best as possible. The Venue Manager may not always be available during the event to address issues immediately.
15. Additional Terms:
- The Hirer agrees to comply with all applicable laws and regulations during the event.
- The Hirer is prohibited from allowing any unlawful activities or behavior within the Venue, and is responsible for the conduct of all participants.
- Any equipment brought into the Venue by the Hirer must be in good working order and must not pose any risk to safety.
16. Agreement and Binding Effect:
- These Terms and Conditions will come into effect from the moment the booking has been made and paid by the Hirer. These Terms and Conditions are binding once the Hirer confirms the booking. Any amendments to this Agreement must be made in writing and agreed upon by both the Hirer and ZenZen Ltd.
By booking the Venue, the Hirer acknowledges and agrees to these Terms and Conditions.
